How many spare chairs should I have?

A 5% spare is standard for events. This covers unexpected guests, damaged chairs, and last-minute changes. For a wedding with 100 guests, have at least 5 spare chairs available.

Can ceremony and dining chairs be the same?

If your ceremony and dining are in the same venue, chairs can often be moved between rooms. In this case, you only need enough for the larger of the two — not both combined. This calculator works out the maximum needed.

How We Calculate This

This calculator works out chair quantities based on your guest count and event setup.

The formula

Total chairs = maximum of (dining chairs, ceremony chairs) + staff/band chairs + spare %

If ceremony and dining chairs can be moved between areas, you only need the larger number (not both combined). Any staff or band chairs you add are extra non-guest seating, so they are added on top. The spare buffer (5% by default, adjustable up to 25% in advanced options) covers breakages, late RSVPs and unexpected guests.
