How much floor space does each table need?

As a rule, allow at least 1.5 metres clearance between table edges for comfortable chair movement and service access. A 1.7m round table with 1.5m aisles needs roughly a 3.5m × 3.5m zone. For rectangular tables, allow the full table length plus aisle space on each side. This calculator uses your aisle width setting to compute room space automatically.

Should I use round or rectangular tables?

Round tables encourage conversation across the table and look elegant — they are the most popular choice for weddings and formal dinners. Rectangular tables fit more guests in the same floor area and suit narrower rooms. Long banquet tables create a communal, family-style atmosphere but require a large venue and longer service runs.

How big should my head table be?

Allow approximately 60 cm per seat along the front of the head table — an 8-person head table is about 4.8 m long, a 12-person table about 7.2 m. The head table is traditionally set on one side only so guests face the room. Consider a sweetheart table (just the couple) as a more modern, intimate alternative for weddings.

What if my guest count does not divide evenly across tables?

It rarely does. Having one or two fewer guests on some tables is perfectly normal and looks fine. Avoid any table with fewer than half its intended capacity — combine small groups at larger tables instead. Spread empty seats across tables rather than leaving one table noticeably sparse, as this draws attention to absent guests.

How many spare seats should I plan for?

Zero to two spare seats per table is ideal. Too few and you have no flexibility for last-minute changes; too many and tables look sparse. If you are expecting RSVPs to drift in late, plan for 5–10% more capacity than your confirmed guest count to absorb additions without reorganising the entire plan.
