How We Calculate This
This calculator divides your total event costs by the number of guests to give a per-head figure.
Formula
- Base total = fixed costs + (variable cost per head × guests). If you enter a known Total Cost, that figure is used directly and the itemised fields are ignored.
- Grand total = base total + VAT/tax (VAT defaults to 0%, so the grand total equals the base total unless you add a rate).
- Cost per guest = grand total ÷ effective guests.
- Fixed cost per guest = fixed costs ÷ effective guests.
Effective guests = guests × (1 − no-show rate). The no-show rate defaults to 0%, so by default effective guests = the number you enter and cost per guest = grand total ÷ guests — the standard per-head figure. Raise the no-show rate (under Advanced Options) to spread the same total spend across the smaller group you actually expect to attend.

Add drinks and you are typically at £40-£160 per guest for food and drink at a wedding. All-in per guest — once venue hire, photography, flowers and entertainment are spread across the guest list — can reach £150-£250+.
